Project Insight AI Policy

Our commitment to customer data

Project Insight is designed to help organizations plan, track, and deliver work with confidence. To do that, we collect and use customer data only as needed to operate the platform, support our customers, and improve the reliability and usability of our software.

We do not sell customer data. We do not collect information unrelated to providing our services. Our security practices are aligned with recognized industry standards, including SOC 2 controls, and are reviewed regularly as part of our security and compliance program. We do not use customer data to train AI models.

What data we collect

Project Insight collects data that customers choose to create in the platform, as well as limited system-generated data required to operate, secure, and support the application.

This includes project, task, schedule, resource, time, and budget information entered by users, account and user information needed to manage access and permissions, system activity data such as login and feature usage, and support-related information when customers contact our team.

Data that is processed only temporarily and not stored, logged, or retained by our systems is not considered collected.

How we use customer data

Customer data is used to deliver the features and workflows customers rely on every day, provide onboarding, training, and customer support, maintain platform security, performance, and availability, and improve product usability and functionality.

We do not use customer data for advertising purposes, and we do not share customer data for use unrelated to our direct relationship with customers.

How customer data is stored and protected

Customer data is stored in secure systems operated by Project Insight or by approved service providers. Access to customer data is restricted to authorized personnel and governed by role-based access controls.

We use industry-standard security practices to protect customer data both in transit and at rest.

Use of third-party services

Project Insight uses a limited number of trusted third-party service providers to support infrastructure, analytics, support, and integrations. Data is shared with these providers only as necessary to deliver their intended functionality.

We review service providers for security and reliability and limit the data shared to the minimum required for their role.

How we use AI

Project Insight uses AI-assisted features to help users work more efficiently within the platform. All AI features must be enabled by the customer with granular control over specific features. These features are designed to help organize information, generate summaries, and provide helpful suggestions that support decision-making.

AI is used only to assist users in the context of their work. It does not make autonomous decisions, and it does not replace human judgment.

Project Insight does not use customer data to train AI models. Customer data is processed only to generate the requested output for the customer and is not retained or reused to train shared or public AI models, including those provided by third-party vendors.

AI functionality is initiated by user action and is visible within the product experience. There is no background or continuous AI monitoring of customer data.

How AI interacts with customer data

When a user chooses to use an AI-assisted feature, the AI processes only the information the user explicitly provides as part of that request. The system does not automatically pull in project data, task details, or other account information, and it does not scan or analyze customer data in the background. AI processing is limited to the specific input the user submits and ends once the requested output is generated.

Project Insight logs the input and output for the purposes of improving the system prompts we provide. This logging can be turned off by the customer.

AI processing is scoped to the specific request and the customer’s own data. AI outputs are specific to the customer’s environment and are not shared across customers.

AI model training and data isolation

Customer data is not used to train AI models. Customer data is processed in isolation and is not used to generate AI outputs for other customers.

Customer control and transparency

Customers remain in control of their data within Project Insight. We aim to be transparent about how data is handled and how AI features are used, and we are available to answer questions related to data privacy, security, and AI usage.

Customers can disable AI-assisted features globally at the account level. When AI is disabled, AI functionality is not available or used within the account.

Fairness and Bias Considerations

Project Insight uses AI-assisted features powered by Microsoft Foundry Azure AI to support productivity and decision-making. We recognize that AI systems may reflect or amplify biases present in their training data or usage patterns.

To address fairness and bias considerations:

  • AI outputs are used as decision-support tools and do not replace human judgment.
  • Users are responsible for reviewing, validating, and contextualizing AI-generated content before use.
  • AI-generated outputs are not used as the sole basis for decisions involving legal, financial, employment, or other high-impact outcomes.
  • The organization does not intentionally use AI features to discriminate against individuals or groups based on protected characteristics.
  • Feedback mechanisms are in place to report inaccurate, biased, or inappropriate AI outputs so usage can be reviewed and adjusted.

Project Insight relies on Microsoft Foundry Azure AI practices and governance frameworks and applies internal controls to ensure appropriate use consistent with our ethical and compliance standards.

Model Validation Summary and Assurance

Project Insight does not train, modify, or directly validate the underlying AI models used by Microsoft Foundry Azure AI. Model development, training, and validation are the responsibility of the AI provider.

To ensure responsible use:

  • Project Insight evaluates AI-assisted features for fitness for purpose within defined business use cases.
  • AI outputs are reviewed by users prior to adoption, publication, or operational use.
  • AI features are limited to approved workflows and are not enabled for unrestricted or unsupervised use.
  • Known limitations of AI-generated content are documented and communicated to users.
  • Project Insight monitors AI usage patterns and adjusts access or controls as needed based on risk.

Assurance regarding model performance, safety, and responsible development is provided through Microsoft Foundry Azure AI published documentation, transparency reports, and contractual commitments.

Why it matters

We recognize that organizations are increasingly asked to evaluate data practices and AI usage as part of security and compliance reviews. This document is intended to provide clear, consistent answers and reflect how Project Insight operates today.
